Position Purpose

The Academic Assistant plays a dual role in supporting academic logistics and the management of learning resources, with the primary objective of ensuring the smooth operation of teaching schedules, student records, and the Resource Centre Management (RCM). The officer is responsible for coordinating academic events, managing instructional materials, and assisting both staff and students with technical and administrative needs related to the learning environment, requiring high organizational skills and a commitment to maintaining professional standards across all academic support services.

 

Key Performance AreaKey Responsibility
Academic Logistics & Coordination
  • Draft teaching schedules and manage room usage and allocation effectively.
  • Arrange covers and make-up tests for end-of-term assessments.
  • Sort and distribute tests to teachers.
  • Maintain accurate student academic records.
  • Coordinate academic events and functions such as workshops for students, graduations and staff parties.
Resource Centre Management
  • Ensure and maintain the smooth running of the RCM.
  • Manage and track all resources including books, stationery, and materials.
  • Develop, support, and implement policies for the RCM services to meet student and staff needs.
  • Maintain computer equipment and assist users with technical needs in the RCM.
  • Conduct annual book reviews to verify inventory and remove or repair old resources.
Teacher & Classroom Support
  • Prepare textbooks, stationery boxes, and folders for teachers based on their schedules.
  • Maintain a welcoming and organized learning and working space in the RCM and Staffroom.
  • Ensure that teaching and learning resources are used efficiently and provide supplies to other departments as requested.
Procurement & Inventory Control
  • Conduct regular stock counts and resource checks (stationery, markers, recycled paper).
  • Process purchase requests via designated procurement systems after consultation with management.
  • Manage and track stock and purchases on a regular basis.
Administrative & Safety Support
  • Assist in calling campaigns during terms and term breaks.
  • Responsible for first-aid support and maintaining first-aid kit stock in the RCM.
  • Communicate regularly with staff regarding RCM policies and maintain a clean shared workspace.

General
  • Perform other tasks as assigned by the immediate supervisor.
Person Specification
Essential requirements (skills, knowledge experience, & qualification(s) 
  • A minimum of a bachelor's degree in Education, Business Administration, or a relevant discipline.
  • Good command of written and spoken English and Khmer.
  • Experience in academic administration, logistics, or resource management is preferred.
  • Strong proficiency in Microsoft 365 and Google Workspace.
  • Excellent organizational and time management skills with high attention to detail.
  • Demonstrated enthusiasm for learning and professional development.
  • Strong commitment to professional integrity and ethical conduct.
  • Ability to work in a cross-cultural team environment.
  • Flexible, responsible, respectful, and committed to upholding company values.
  • Willing to abide by all company policies and procedures.
Desirable requirements
  • Experience using Ariba, Concur, or P2P procurement systems.
  • Previous experience working in an English Language Teaching (ELT) center.
